Privacy Policy for Chandan Tracker

Chandan Hospital Limited (“Chandan Hospital”, “we”, “our”, or “us”) is committed to protecting the privacy and security of information collected and processed through the Chandan Tracker mobile application (“App”).

This Privacy Policy explains what information the App collects, how that information is used, when it may be disclosed, how it is protected, and how authorized users may submit privacy-related requests.

By using Chandan Tracker, authorized users acknowledge the data practices described in this Privacy Policy.

Important: Chandan Tracker is an internal workforce application intended only for authorized phlebotomists and other approved personnel of Chandan Hospital Limited. It is not intended for public or patient use.

1. About Chandan Tracker

Chandan Tracker supports home sample collection and field-service operations performed by authorized phlebotomists. The App enables users to receive assigned leads, navigate to patient locations, update visit and collection status, scan sample barcodes, record payment details, verify completion information, track official journeys, and return collected samples to the assigned laboratory or branch.

Chandan Tracker does not provide medical diagnosis, treatment recommendations, prescriptions, or independent clinical decision-making.

2. Authorized Users and Account Management

Chandan Tracker does not allow users to independently register or create an account from within the App.

Accounts are created, issued, managed, activated, deactivated, and controlled by authorized representatives of Chandan Hospital Limited, such as administrators or Branch Managers.

Access to the App requires valid organizational credentials. Unauthorized access or use is prohibited.

3. Information We Collect and Process

Before requesting location permission, Chandan Tracker displays a prominent in-app disclosure when the phlebotomist selects Online, Accept Lead, or Start Journey.

The disclosure informs the user that Chandan Tracker collects precise location during assigned sample collection journeys, including when the App is running in the background, minimized, or when the device screen is turned off.

Location tracking begins only after the user selects Continue, grants the applicable location permission, and starts an authorized official journey.

3.2.1 Foreground Location Access

Chandan Tracker may request foreground location permission, including precise or approximate location, to provide navigation, identify the phlebotomist’s current position, verify arrival at the customer location, and begin tracking an assigned journey.

The Android runtime permission request for ACCESS_FINE_LOCATION or ACCESS_COARSE_LOCATION is shown only after the user has reviewed the prominent disclosure and selected Continue.

3.2.2 Background Location Access

Background location is required to maintain continuous journey tracking during an active sample collection assignment when the App is minimized, running in the background, or the device screen is turned off.

After foreground location permission is granted, Chandan Tracker may display a separate explanation before requesting background location access.

The user is informed that location access is required while the App is minimized or the screen is off to maintain accurate route tracking, kilometre calculation, arrival verification, and journey monitoring.

The user may select Not Now or Continue to Settings. Background location access is requested through the Android-supported permission flow only after the user provides consent.

3.2.3 Location Permission and Consent Sequence

Chandan Tracker follows the permission and consent sequence described below:

  1. The authorized phlebotomist logs in to the App.
  2. The user selects Online, accepts an assigned lead, or selects Start Journey.
  3. The App displays the prominent location disclosure before requesting any location permission.
  4. The user selects Continue.
  5. The App requests foreground precise or approximate location permission.
  6. After foreground permission is granted, the App displays a separate explanation for background location access, where required.
  7. The App requests background location using the Android-supported permission process.
  8. Location tracking starts only after the required consent and permissions have been granted.

3.2.4 Tracking Duration

Location tracking is intended to start only during an authorized official journey and continues while the assigned sample collection or return-to-laboratory journey is active.

Tracking stops after the journey is completed, cancelled, manually closed, or otherwise ended according to the approved operational workflow.

Chandan Tracker does not use location information for third-party advertising, behavioural advertising, or the sale of user data. Location information is used only for Chandan Hospital Limited’s authorized healthcare and field-operation purposes.

3.2.5 User Choice and Permission Control

Users may decline location access by selecting Not Now or may later disable location permission through their device settings.

However, declining or disabling foreground or background location permission may prevent core functionality from operating correctly, including navigation, route tracking, kilometre calculation, arrival verification, journey monitoring, and lead completion.

Chandan Tracker does not request location permission immediately when the App opens. The App does not begin collecting location before the user has reviewed the disclosure and granted the applicable permission.

3.3 Patient, Lead and Sample Collection Information

To support assigned home sample collection services, the App may process:

The App may allow an authorized phlebotomist to select a profile photograph from the device gallery.

Photo or media access is used only when the user explicitly selects an image. The App is not intended to scan or access unrelated images stored on the device.

Limited technical or diagnostic information may be processed by service providers used to operate or maintain the App, including Firebase Crashlytics provided by Google. Such providers process information for technical support, diagnostics, infrastructure, or application functionality and are not authorized to use the information for unrelated advertising purposes.

Information may also be disclosed where required by law, court order, regulatory authority, healthcare obligation, security requirement, or to protect the rights and safety of Chandan Hospital Limited, its patients, personnel, and systems.

6. Legal and Operational Basis

Information is processed as necessary to manage authorized employment-related and healthcare field operations, deliver assigned sample collection services, maintain security, comply with organizational obligations, and satisfy applicable legal or regulatory requirements.

Where device permission or user consent is required, the App will request it through an appropriate disclosure and permission flow.

We apply reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, loss, or misuse.

8. Data Retention

Information is retained only for as long as reasonably required for the purposes described in this Privacy Policy and in accordance with Chandan Hospital Limited’s operational, healthcare, financial, security, legal, contractual, audit, and regulatory obligations.

Different categories of information may be retained for different periods. Information that is no longer required may be securely deleted, anonymized, or archived in accordance with applicable policies and legal requirements.

Certain records may need to be retained after a user’s access is deactivated, including patient-service records, payment records, audit logs, fraud-prevention records, security records, and information required by law or healthcare regulations.

9. Account Deactivation

Users do not create their own accounts within Chandan Tracker. Accounts are issued and managed by Chandan Hospital Limited.

A user who no longer requires access may contact the assigned Branch Manager, Human Resources Department, or application administrator. The authorized administrator may deactivate or disable the user’s App access.

Account deactivation prevents further access but does not automatically delete records that Chandan Hospital Limited must retain for healthcare, operational, financial, legal, security, or audit purposes.

10. Data Access, Correction and Deletion Requests

Although Chandan Tracker does not allow users to create their own accounts, authorized users may request access to, correction of, or deletion of eligible personal information associated with their use of the App.

Withdrawing or disabling a permission may limit or prevent access to core App functions. For example, disabling location permission may prevent navigation, official route tracking, kilometre calculation, arrival verification, and journey completion.

12. Children’s Privacy

Chandan Tracker is intended only for authorized healthcare professionals and workforce members aged 18 years or older.

The App is not directed toward children and does not knowingly permit individuals under 18 years of age to create or use an account.

13. Geographic Availability

Chandan Tracker is intended for authorized operational use within India.

The App may use or interact with third-party technical services, such as mapping, navigation, notifications, diagnostics, or other approved operational services.

Third-party services may process limited information according to their own privacy terms and the configuration implemented by Chandan Hospital Limited.
